The Opportunity :

Your primary role as an executive assistant is to support the Executive Vice President of Sales and assist in coordinating the Sales operational calendar, events and communication. These activities take place in a fast-paced environment and use a wide range of skills and knowledge of organizational policies and procedures to get tasks completed. Managing the Executive’s calendar and effectively communicating timely and priority information is essential. You will additionally provide administrative assistance, such as writing and editing emails, drafting memos and preparing communications on behalf of the Executive.

Duties and responsibilities:

  • First point of contact for the Executive Vice President of Sales
  • Organize meetings, including scheduling, communicating reminders and information, as well as managing catering, entertainment and dining reservations and other details as directed.
  • Coordinate travel and communicate itineraries
  • Create, track and report on expenses for the Sales Team, including those of the EVP of Sales
  • Coordinate and plan weekly, monthly, quarterly, and annual team meetings, including the biannual National Sales Meetings.
  • Interface and negotiate with sales-facing vendors with or on behalf of the EVP of Sales
  • First point of contact for VIP guests in sales related events and meetings
  • Assist HR and the Director of Sales Training & Development as needed to coordinate and facilitate talent management activities and sales training.
  • Liaise with internal employees with the sales leadership team
  • Create, manage and communicate weekly, monthly, quarterly and annual sales reports
  • Document, organize and distribute meeting notes and action items
  • Creatively Troubleshoot & Assist with Issues or Challenges
  • Present raw data and information in visual formats, including graphical or with presentations
  • Effectively manage projects and deadlines
  • Other duties as assigned

  • Mastery of Microsoft Office Suite, MS Pro Suite, Concur, CRM
  • Experience working across several time zones and geographies
  • A Bachelor’s Degree or equivalent work experience
  • Must be willing to travel overnight 25% of the time
